Cardholder records are personal information. The organization that creates them decides why they are collected and which fields are required. CCS processes that information to print ID cards the organization orders. Bureau staff do not see live cardholder records. They see an order after it is submitted, or while a support grant the customer approved is still open.

Information in the portal can include names, ID numbers, photos, signatures, and the other fields the organization defines, plus account emails, order and payment references, and proof-approval details (who, when, IP address, and user agent).

How long it is kept

Live cardholder records stay with the organization until that organization changes or removes them.
Order snapshots, rendered card images, and print files are deleted 15 days after printing.
The proof approval row is kept after those files are deleted.
A support grant records what staff viewed or changed during the window. The grant itself expires or can be revoked.
An account deletion request is recorded for CCS. It does not immediately erase the organization.

Data is stored for the hosted service in the Singapore region. Payment details sent through PayMongo are handled by that provider under its own terms. Email about order status is sent from no-reply@ccs.com.ph when the person has not opted out.
